Managing and procuring global solutions

Howden Group had been on an aggressive acquisition path for nearly a decade and although successful, it had left their IT & Procurement team with different suppliers, products and services all on different contracts making management extremely difficult. The HQ IT team have worked with Dataquest on numerous projects to help standardise the contracts and to improve the performance and support for these services, whilst aiming to reduce waste and unnecessary costs.

Brief

The brief was to find a partner who could help the Howden IT & Procurement team to deploy a standardisation of services globally. This would improve services and manageable support across all sites with efficiencies of global pricing to be delivered at a local level.

Implementation

The initial task was to sort out the managed print contracts within the UK which were expensive, onerous and on old unsupportable devices. Our proposition was to standardise with one manufacturer and fully audit all sites. We devised a single agreement and service plan to cover everything along with the implementation of a managed print software solution to help reduce waste and manage printing costs. Dataquest came up with a revised plan and the successful rollout of new Canon devices has been expanded into other European sites.

We were able to move the group onto a better platform and tariff, whilst rolling out new mobile hardware and a mobile device management system. This helps manage things centrally and provides full management of all Group mobile usage throughout the UK.

Results

The results of the Canon managed print services plans
and the new Mobile agreement have resulted in significant savings financially, along with a streamlined service approach. This has allowed for clearer management of these areas and has freed up time for the current IT team to focus on other areas of the business. We are continuing to explore developments in these areas with other Group companies to drive improvements and standardisation across all sites.

“We needed to change the print management provider and fleet of devices in the UK due to the high print and service costs, while also implementing a print environment that was fit for purpose, feature-rich and reliable. The second area was the mobile service provider for UK users, as the incumbent environment was difficult to manage due to incorrect invoicing and vendor mistakes on business unit structures. Working with Dataquest, we have implemented a platform where we have real-time visibility of usage and using their portal makes all the required administrative tasks simple and easy to process.” Aiden Curran, Regional Service Delivery Manager–EMEA 1 Howden Group.
